Fehr & Peers is an innovative transportation engineering and planning consulting firm of over 300 professionals proud of its people and culture. We are seeking a talented and motivated individual to manage our 12-person Salt Lake City office. Our team is comprised of transportation engineers and planners who provide high quality service to our clients in an office environment fostering and encouraging initiative, vision, autonomy, and creativity. In addition to our office staff of 12, this position receives the support of company-wide resources and leaders to assist with growth and success. The Office Manager opportunity offers a variety of responsibilities, from administration and accounting to marketing proposals and preparing project deliverables. More About the Role

This position can be full-time or part-time.

RESPONSIBILITIES

Office Administration and Management:

  • Participate in the development of office-wide yearly objectives and ensure performance meets expectations
  • Assist in the development and implementation of a comprehensive and measurable business plan
  • Assist in fiscal oversight, including accounts receivables, budgeting, and financial statements
  • Support the recruitment and orientation of new employees
  • Provide leadership and aid with management oversight of the office
  • Enhance staff professional growth by conducting effective performance reviews and facilitating other coaching and mentoring opportunities
  • Maintain office supplies inventory and office equipment, which may require coordinating service calls
  • Communicate with property management representatives and vendors as necessary
  • Coordinate with management, marketing, and administrative staff from other offices
  • Request and process forms such as insurance certificates, W-9s, and business certifications for projects and proposals

Project Support:

  • Assist in the management of staff workload
  • Assist in tracking and measuring project backlog
  • Review contracts and negotiate revised terms and conditions with clients
  • Aid project managers with project set-up

Accounting:

  • Serve as liaison between project managers and accounting staff on billing revisions and invoice changes
  • Compile and process expense reports for office staff
  • Prepare petty cash and checking account reconciliation statements
  • Process office accounts payable expenses, create check requests, and respond to accounts payable inquires
  • Assist with the oversight of accounts receivables and contact client representatives on outstanding invoices
  • Review and approve invoices for regular office expenses
  • Review vendor invoices and submit for processing

Marketing:

  • Provide marketing coordination assistance with the following tasks:
    • Maintain databases of project opportunities, project descriptions, resumes, references, and qualifications materials
    • Lead the effort to solicit and coordinate information from internal staff members, external consultants, and other team members for inclusion in proposal and presentation materials
    • Open proposal numbers and proposal files for new pursuits
    • Assist with the preparation of final proposal deliverables, including production as needed and coordination of delivery services

QUALIFICATIONS

  • 3+ years of experience working in a professional business environment; experience within the Architecture and Engineering (A&E) or Consulting industry is a plus
  • Commitment to high-quality, reliable, and timely work performance
  • Proficiency in office computer software/systems (MS Office, Word, Excel, PowerPoint)
  • Proficiency in basic accounting and financial management
  • Experience providing organizational coordination of office marketing pursuits
  • Prior experience with Deltek Vision preferred, but not required
  • Poise and maturity to be a Fehr & Peers representative to clients and potential employees, including the ability to articulate business goals, vision, culture, and environment
  • Customer focus; interpersonal and teamwork skills with a proven ability to build and maintain strong internal and external relationships
  • Demonstrated ability to communicate effectively and professionally with internal and external associates
  • Desire to work in a fast-paced working environment with many new challenges
  • Personable demeanor and positive can-do attitude, with strong initiative
  • Excellent time management and organizational skills
